Code of Conduct: Boundaries + Expectations for Participation in Solar Lunar Spaces

Code of Conduct

  • Always be respectful to participants, teachers, as well as other workers in the shared spaces we participate in.

  • No foul language is allowed inside Solar Lunar spaces.

  • Strict no alcohol consumption, smoking or vaping policy as you step into one of Solar Lunar spaces (this includes classes, retreats, workshops or otherwise).

  • Electronic devices must be silenced to avoid disruption of the class. If you are an emergency contact, please let the facilitator know.

  • Arrival of participants is expected 5 minutes before the start of the class to set up your space. The doors will be closed 5 minutes after the start of the class; should you plan to arrive late for the class, notify the facilitator at least 1 hour before so that we can keep a spot set up for you.

  • You’re allowed to leave the space at any moment in time or during the activity prioritising safety and comfort for yourself and the baby; please always let the yoga facilitator know with a verbal or non-verbal sign so that we can accommodate in the best way possible for yourself and the other participants.

  • If you need to change your baby’s nappy, please use the bathroom or allocated area for the purpose. Don’t change the nappy inside the room where yoga is being held under any circumstance.

  • When the facilitator is demonstrating the techniques, participants must sit or stand in good posture and in silence to avoid interruptions.

  • Talking should be kept to a minimum and should relate to the class subject.

  • Every participant must have their yoga clothes clean and maintaining personal hygiene standards is expected.

  • Shoes, food, drinks and electronic devices are not allowed on the mat. Should you nurse your child, or take a snack, please use the allocated spaces.

  • Towards the end of the class, each participant must dedicate a few minutes to clean their own personal space and tidying of their belongings, as well as help the facilitator of cleaning and organising the different shared items used throughout the class.

  • Disciplinary action will be taken against those members that do not comply with the rules and code of conduct.

For the most current updates on our upcoming offers, specials, and experiences, we recommend regularly checking your E-Mails coming from Solar Lunar.

While our website may not always reflect the latest information, Luna occasionally hosts Q+As related to upcoming experiences; however, we do not conduct individual sales-focused calls. 

Additionally, you can join our complimentary group sessions and connect with Luna through the chatbox available during these Zoom sessions. Your participation in these avenues ensures you stay informed and engaged with our latest offerings and insights.

How our programs work

Upon signing up for any of our programs, expect to receive a welcome email by the end of the following business day. This email is crucial, offering essential information on next steps and providing guidance on how to maximise your experience within the program.

Should you have any inquiries about our various programming or if you're concerned about missing any information, please respond to the welcome email and our dedicated team member at Solar Lunar will be readily available to assist you.

Your experience in our spaces means the world to us, and we're here to ensure you have a fulfilling and enriching experience.

Being in our world can be a lot to calibrate to right at first. You will be a pro at navigating our format in no time. Don’t be shy. Be in touch if you need anything!

Refunds

All payments due to student cancellation are non-refundable, without exception (including change of mind, injury, illness, change of address or any other reason). This stands for both virtual + in person experiences.

If you must cancel before the program begins - you can transfer your credit towards a future program within one calendar year for the programs announced at that time. The main reason for this is that our programs respond to very temporary stages (ie. 9 months pregnancy, stages of baby’s development, etc).

Once you have received access to the materials and attended the first session, you forfeit tuition with cancellation.

Enrolments to specific programs or classes cannot be shared or transferred. 

Enrolment cancellations

We reserve the right to cancel enrolments under the following circumstances:

  • Not meeting our Code of Conduct standards

  • Non-disclosure or misinformation in the new student form completed during the process of registering as a new practitioner/student.

  • Failure or refusal to disclose required and important information on the enrolment form

  • Being under the influence of alcohol or drugs

  • Failure to suitably follow guidance and instruction of the teacher and hereby causing risk to themselves & other students

  • Aggressive or abusive behaviour

  • Creating undue disruption and/or disturbance during class

  • Personal hygiene standards not satisfactory

  • Damage to studio or location where practice is held, and/or studio property and/or any of the materials provided during the class.

  • Non payment

Payment Options

Payment needs to be made upon booking your program online. If you wish to enrol to the program and pay in person, please notify team Solar Lunar upon attendance, to make sure we are able to offer a payment option via Square (Visa, Mastercard…) or Cash payment.

 

Solar Lunar is not responsible for additional bank fees that you may incur from your bank. Bank fees are under the terms and conditions of contractual agreements that lie between you and your bank. Fees from incurring from all online transactions, or credit or debit card payments (including Square, Paypal, Stripe, etc) are to be paid by the client.

 

Note that a payment plan is an agreement to submit the payment in full for the container and/or program you have chosen. Once you receive access to the materials via the welcome email, you are legally required to submit the total payment.

 

Prices for future programs may increase from time to time to reflect increases in costs.

No Shows / Non-Attendance

When you join a short-term program (ie. usually 7-weeks of duration), you can choose to attend or not. We do not offer refunds or discounts for the sessions you miss or cannot attend.

Program Sessions / Cancellations

Under certain circumstances (ie. sickness) classes and teachers are subject to change or cancellation with previous notice, and an alternative day/time will be provided in the same or different location. 

Solar Lunar is not liable to refund or offer compensation for classes that are late, rescheduled or cancelled.

Parking & Logistics

Every location has different arrangements of parking and logistics which we will communicate accordingly across the different channels. 

When you book for a specific location on the Solar Lunar website or via our Fit app (when available), you will receive a confirmation email with the specifics for the location where you will be attending. 

Please make sure to read the information before attending the class. 

We ask participants to not bring in baby trolleys or prams as they take space and also may be subject to theft. For this please refer to the descriptions and indications under each program you are attending to access the details of what is expected for you to bring.

Wellbeing & Attendance

During our classes, we prioritise immediate health and wellbeing. 

Therefore we ask each of you, as a participant in our program, to personally assess whether you or your baby are fit to continue or perform the activities. 

In this sense, we encourage you to take time and space if you are experiencing sickness, or any way of physical, emotional or mental discomfort.

As we stand for the value of motherhood’s autonomy and making informed decisions at any time, including: feeding or nursing your child, drinking or eating snacks, using the bathroom and facilities… 

Feeding, changing and soothing are all part of the flow of the class as each baby requires. For classes that are delivered in the frametime of an hour, there is plenty of time to enjoy the class, feed your baby and change them whenever they need and most of all time to relax.

The facilitator at Solar Lunar will make sure that there is time around the class for everyone to arrive and settle, clear up and leave without rushing to fit between other classes using our venues. For this we kindly encourage you to be at the venue 5 minutes before the start of the class.

Participants in Solar Lunar programs voluntarily choose to opt in or opt out from activities at any time. For this there is a detailed waiver that participants are required to agree before enrolment to any of our programs, workshops or classes. By ticking the “agreement” box, this will be accounted for as your signature as you sign-in.

By signing up to our programs, you declare that you agree to our terms and that you voluntarily participate in them with full knowledge of the risks involved for you and your child.

Hygiene

Cleanliness (in sanskrit “Saucha”) is absolutely an essential at Solar Lunar, as well as the yoga philosophy.

Solar Lunar provides disinfecting wipes where each participant is responsible to maintain appropriate after use hygiene to yoga mats and props used during the class. Participants will be encouraged to clean the props (such as yoga mats, blocks, toys) before and after each session. 

As mentioned in the Code of Conduct, it is essential that all participants come to class with clean yoga or sportswear and maintain personal hygiene standards. 

If you notice that your baby’s nappy needs to be changed please do so as soon as possible in the bathroom or allocated area for the purpose. Don’t change the nappy inside the room where yoga is being held under any circumstance.

Participants/clients are encouraged to bring their own yoga mats and materials to align with their own hygiene standards.

Access to Faculty

The responsibility of your lead faculty is to provide the content of the program. There will also be a Q+A feed in the FIT app (when available) based on the emails and questions we have collected across our channels. 

Questions can be posted via Telegram or by sending us an E-Mail and these questions will be addressed live by faculty. Our team will be available to support you + your experience within the program format.

After the conclusion of the program - the lead faculty member will no longer be present in the activity feed. Know that it may not be possible to answer all of your questions - depending on volume and the time allotted for Q+A. 

Please note that the space we have hired must be vacated in a timely manner as there may be other classes held in the space after our Solar Lunar session. In this sense, kindly participate in the cleaning of your and the shared space as described in the Code of Conduct.

Access to Luna Shakti

Note that personal access, private support + coaching with Luna Shakti is only offered through her 1:1 or group mentorship containers. Private support or time with Luna is not offered in group programs, workshops, masterclasses or retreats unless embedded in the program. 

Luna Shakti will do her best to respond to comments + questions shared during live sessions or in the Telegram group.

Official Communication

Participants are also allowed to share information, engage in relevant discussions, and ask questions in the allocated Telegram Group which you would have been invited to upon joining the program.

Note that the official communication channels are ONLY email correspondence, and direct messaging via our Telegram group/s. In this sense, DMs on Instagram, Facebook, comments on posts within the social media or other communication channels may not be responded to or monitored.

If you need something, please message us via Telegram @lunashaktiyoga or email solarlunarshaktiyoga@gmail.com. Note that you can expect a response from us within 24-48 business hours (during weekdays).

Use of the Telegram

The group is a place to come to support, celebrate, uplift, inspire and show up as a peer + student. We love celebrating your successes, however posts that feel like a sales pitch and/or salesy, will be removed.

Note that your posts may be removed without notice or explanation if we feel that it is best for Solar Lunar + our community.

Other uses for Telegram:

  • Official communications

  • Inspirational content relevant to our programs

  • Ask general questions, which Luna will attempt to address in the live session or respond via Telegram based on the nature and relevance

Intellectual Property

Respecting intellectual property is vital in our community. We encourage members to honor our work by not sharing or duplicating materials provided within our platform for personal or external use without explicit permission. Upholding these standards fosters an environment of trust and mutual respect. 

Of course, we are also offering these teachings so that you can share them with your community, and we are nurturing a culture of originality and innovation within our community. If you are unclear on your intentions, feel free to reach out to us directly.
